01 / Our recommendation

Connect the invoice
to Nemo's payment experience.

Customers follow the link in their PBS email to a custom landing page designed around Nemo's brand. They review the balance, pay securely and receive confirmation. VEN makes the verified payment record available to Nemo's appointed PBS software provider for import into PBS.

Approximate invoice payments per week
~$100
Approximate average payment

Nemo's has indicated these approximate volumes and a preference to start at Helensvale. Store coverage and online adoption remain to be confirmed. These figures are a planning guide, rather than a commitment to transaction volume.

02 / Customer experience

Nemo's brand.
A connected payment journey.

We will design and build a custom, mobile-friendly payment landing page that connects the customer experience with the PBS invoice and payment records.

01

Open the invoice link

The PBS email includes a secure payment link. A QR code can use the same URL where the email or invoice template allows it.

02

Review the branded page

Nemo's identity, invoice reference and authorised balance are presented clearly. Payment is disabled where the agreed invoice updates identify a paid, cancelled or invalid balance. Reliable PBS data is a launch dependency.

03

Pay and receive confirmation

The customer pays the full balance securely. VEN verifies the payment and makes the receipt available for PBS to record.

Payments are processed through Stripe behind the branded experience. VEN designs, builds and maintains the landing page and VEN-side connections, with automated monitoring and reconciliation reports. All work within PBS is excluded.

03 / Invoice and payment data flow

Keep PBS at the centre.

The connection brings together invoice details, Nemo's branded payment page and verified payment records. We will agree the interface with Nemo's appointed PBS software provider before implementation. VEN builds only the payment service and its own endpoints; the provider implements and maintains every PBS-side change.

01 / PBS

Invoice data

PBS supplies the invoice ID, location, customer reference, revision and balance.

02 / Custom landing page

Nemo's payment link

VEN validates the invoice and returns a secure URL for the PBS email.

03 / Nemo's account

Secure payment

The full invoice balance is processed through the payment account owned by Nemo's.

04 / VEN

Verified result

Signed notifications and server checks verify successful payments and record duplicate events safely.

Back to PBS

VEN payment ledger → PBS provider retrieves events → PBS provider posts the gross payment → provider acknowledges import.

Reliable accounting updates

VEN supplies durable event references, a replayable feed and automated daily missing-acknowledgement reports. The PBS provider owns duplicate-safe receipt posting, import recovery and acknowledgements within PBS.

Current balances

The PBS provider must supply current balances and updates for staff payments, credits and cancellations. A balance check or short-lived authorisation must be validated before launch; unsupported requirements trigger a scope review.

The PBS provider is expected to retrieve payment events hourly; this is not a real-time posting guarantee and outages can extend the delay. Balance checks alone cannot eliminate simultaneous online and in-store payments. VEN flags discrepancies detectable from supplied data; Nemo's approves refunds and accounting corrections. Untrusted balances suspend online payment under the agreed rules.

04 / Account ownership and payment management

Nemo's owns the account.
VEN manages the connections.

The payment account will always belong to Nemo's. Nemo's retains ownership, access and control of the account and its bank details. VEN manages the authorised technical configuration, branded page, VEN-side connections and transaction monitoring. Nemo's retains merchant administration and financial decisions.

Funds go to Nemo's

Customer payments are recorded on Nemo's account and paid to Nemo's nominated bank account, after payment processing and agreed management fees.

Management without transferring ownership

VEN works through authorised access. Nemo's owns verification, banking approvals, refund decisions and dispute evidence. Ending management does not transfer account ownership to VEN; provider restrictions and payout timing remain subject to the account agreement.

This example uses a $100 payment, a 50-cent VEN management fee plus 5 cents GST, and the published domestic card processing rate. PBS records a $100 receipt; the fees are accounted for separately. Actual processing costs depend on Nemo's account agreement and payment mix. Technical provider details are included below.

05 / Pilot build scope

A custom build for Helensvale.
Prepared for future locations.

01

Branded payment experience

One branded invoice payment journey, a verified result page, secure links, full-balance AUD card payments and receipt configuration. Two consolidated design revision rounds; secure card fields supplied by the processor.

02

VEN-side connections

VEN endpoints to receive invoice updates and cancellations, expose payment events, accept import acknowledgements and provide an exception report. No PBS software, database, template or connector work.

03

Management and monitoring

Account status alerts, automated transaction fees, reconciliation reports, monthly statements and minimum adjustments under the agreed billing rules. Manual review of pilot exceptions; no bespoke billing dashboard.

Delivery and operations included

Technical validation, test and live VEN setup, automated monitoring, backups, joint acceptance tests, documentation, one staff handover session and a pilot review. PBS testing and fixes remain with its provider.

Account structure

The pilot assumes one merchant entity and one payment account owned by Nemo's. Location identifiers are included from the start; separate accounts or entities require a scope review.

06 / Pilot build setup and connections

The initial pilot build.

$12,500

+ GST · Pilot build, setup & VEN-side connections

A custom branded payment landing page for Nemo's, VEN-side invoice and payment interfaces, secure payment handling, monitoring, testing and handover for the Helensvale pilot. All PBS-side work is excluded.

Technical validation is the first milestone within the pilot budget. Implementation proceeds only after interface, account compatibility and billing rules are confirmed in writing. If validation changes the assumptions, revised scope and pricing require approval before further work.

Pilot build, setup & connections$12,500
Stripe Connect setup allowance$3,000
Estimated VEN total including allowance$15,500
Optional additional locations
Pricing TBC after the pilot
Est. $2,000 each

All amounts exclude GST. The proposed automated fee model requires Connect setup: the expected VEN total is $15,500 + GST, including the provisional $3,000 allowance for account connection, fee administration and reporting. PBS work is completely excluded, with no PBS cost allowance or supplier estimate included. Nemo's contracts and pays its PBS provider directly. Processing and approved third-party charges are additional.

Additional VEN work: $180 + GST per hour. Out-of-scope requests and work beyond the included service allowance require written approval of the scope and estimate before work starts. This rate does not include or offer PBS-side work.

07 / Transaction management and monitoring

A small fee to manage
and monitor the transactions.

0.50% of successful portal payments, with a $399 monthly minimum, plus GST. This supports the ongoing operation, monitoring and maintenance of Nemo's payment connections.

01 / Manage

Automated management fee

The agreed fee is allocated on successful payments. Failed attempts and payments taken outside the portal do not attract the percentage fee.

02 / Reconcile

Monthly minimum adjustment

For example, around $65,000 processed generates approximately $325 + GST in management fees. A $74 + GST adjustment brings that example to the $399 + GST minimum.

03 / Report

Clear monthly reporting

The tax invoice shows fees, GST, credits and amounts already collected. Only the balance due is charged to Nemo's separately authorised payment method.

Managed service included

Hosting, automated monitoring, backups, failed-sync alerts and automated reconciliation reports. Up to two hours of total human support, routine maintenance and exception investigation per month; unused time does not roll over.

Refund credits handled once

Nemo's staff approve and initiate refunds. The related percentage management fee receives a proportional credit under the signed billing rules, with the minimum still applying. Pilot refund and billing exceptions may be reviewed manually. Original processing fees generally remain payable.

At approximately $80,000 of eligible monthly collections, the percentage fee begins to exceed the minimum. Management starts at the approved live launch and applies during the 30-day pilot; partial-month billing must be agreed before launch. Support is provided Monday–Friday, 9am–5pm Melbourne time, excluding public holidays. No 24-hour monitoring response or guaranteed resolution time is included. Additional approved VEN work is $180 + GST per hour; PBS work remains excluded.

08 / Approximate transaction volume and costs

Plan around the volume.
Review it during the pilot.

Using roughly 300 payments a week at around $100 each, full online adoption would represent approximately $130,000 a month. Nemo's will confirm the store coverage and likely online adoption.

25%~325~$32,500$399 min.
50%~650~$65,000$399 min.
100%~1,300~$130,000~$650

These are estimates, not transaction commitments or adoption forecasts. Monthly averages use 52 weeks ÷ 12 and an assumed average payment of about $100. Calculations assume domestic cards, no refunds or disputes and the proposed account setup; optional provider services and minimum adjustment collection costs are excluded.

Approximate annual baseline

Around 15,600 payments and $1.56 million processed at full online adoption. Estimated VEN management would be around $7,800 + GST a year.

Illustrative future rollout

If the approximate weekly volume applies to each store and three stores reach that online adoption, the model would indicate around $390,000 processed and $1,950 + GST in monthly management fees. This interpretation remains unconfirmed.

09 / Delivery and validation

Launch at Helensvale.
Learn before expanding.

Technical validation comes first. Allow an estimated 4–5 weeks for implementation after written validation sign-off, agreed scope, working PBS interfaces and account access, followed by a 30-day live pilot. Supplier delays, missing access or delayed approvals move the schedule.

Before implementation

Validate the connections

Prove a test invoice, payment, provider receipt import, cancellation and duplicate-event recovery. Confirm account compatibility, fee rules and scope before authorising the build.

Weeks 1–3

Design and build

Implement the agreed branded journey, VEN endpoints, secure payments and fee administration. The PBS provider delivers its own software changes independently.

Weeks 4–5

Test and launch

Run joint scenarios, secure Nemo's staff acceptance and launch the controlled pilot.

Next 30 days

Review the pilot

Measure adoption, exceptions, reconciliation and support requirements before confirming rollout pricing.

The written acceptance checklist covers failed payments, repeat clicks, duplicate notifications, balance updates, refunds, fee credits, minimum adjustments and interrupted imports. VEN supplies one unique verified event per successful payment; the PBS provider demonstrates one gross receipt and safe recovery. Nemo's has five business days to test each acceptance release and report issues. Launch requires written approval; no silent acceptance is assumed. Delayed testing moves the schedule.

10 / Ownership and responsibilities

Nemo's owns the account.
We keep the service connected.

01

VEN

Design, build and support the branded page, VEN endpoints, payment ledger, authorised technical account configuration and automated reports within the defined scope. VEN does not access, modify, maintain or troubleshoot PBS software or its database.

02

Nemo's PBS provider

Own all PBS software, database, email/invoice template and connector work. Supply accurate invoice updates, insert links, retrieve events, post gross receipts, acknowledge imports and test and support PBS. Nemo's engages and pays this provider directly.

03

Nemo's

Own and control the payment account. Complete verification and banking approvals, supply branding and testers, appoint the PBS provider, approve refunds, handle dispute evidence and resolve bookkeeping and customer queries. Approve launch and any expansion.

Outside this initial build

All PBS-side work, including development, installation, configuration, database access, receipt posting, email or invoice template changes, maintenance and troubleshooting. Also excluded: customer logins, saved customer cards, recurring debits, debt collection, customer-selected part-payments, automated refund approvals, new payment methods, multi-currency, multiple merchant accounts, historical migration, a staff administration portal and a full accounting dashboard.

Out-of-scope VEN requests, extra design rounds, extended investigations and support beyond the included allowance are $180 + GST per hour, subject to prior written scope and estimate approval. PBS work remains excluded at any rate. Payment milestones and the scope schedule must be signed before work starts.

11 / Detailed scope and supporting information

The detail behind
the recommendation.

Build breakdowns, connection requirements, account ownership and the evidence behind the estimates.

Build breakdown and future locations
Build componentPrice ex GST
VEN interface specification and reconciliation rules$1,200
Custom branded payment landing page and secure links$1,800
Invoice API, database and location mapping$3,000
Payment processing and transaction safeguards$2,400
VEN payment-event feed and exception report$1,800
Testing, deployment, documentation and handover$1,200
Core build contingency$1,100
Pilot build, setup and connections$12,500
Stripe Connect allowance$3,000
Estimated VEN total including allowance$15,500

The Connect allowance covers connection of Nemo's account, automated management fees, account status checks, monthly minimum adjustments, refund credits and reporting. It remains provisional until the account configuration and fee rules are agreed. Routine automation is included; pilot exception adjustments may be reviewed manually. A bespoke billing platform or accounts dashboard is excluded.

Additional locations are optional, with final pricing TBC after the pilot. Initial estimates are $2,000 + GST per location, assuming the same merchant entity, payment account, branding, PBS configuration and VEN interface workflow, with the PBS provider delivering any required changes. Separate accounts or materially different requirements may change the price.

No PBS-side work or PBS supplier costs are included in VEN's price or allowances. Nemo's must obtain a separate quote and delivery commitment from its PBS provider. Approved additional VEN work is $180 + GST per hour; changes require written approval before work proceeds.

Proposed PBS interfaces and reliability controls

These are proposed endpoints hosted by VEN's payment service, not changes to PBS. Paths, payloads and supported behaviours require agreement and validation. Nemo's appointed PBS provider builds and maintains the code that calls them; VEN does not undertake any PBS-side work.

Proposed interfacePurpose
POST /v1/invoicesCreate or update an invoice using a stable ID and revision; return its secure URL.
POST /v1/invoices/{id}/cancelDisable payment for a cancelled or externally settled invoice; expire an active payment session where possible.
GET /v1/payment-events?cursor=…Return paginated payment and exception changes using a durable cursor.
POST /v1/payment-events/{id}/ackReceive the PBS provider's confirmation that it imported the payment, including its receipt reference.
POST /v1/webhooks/stripeReceive signed processor events for Nemo's account and VEN's management connection.

Invoice data includes source system, location, immutable PBS invoice ID, displayed reference, customer reference and name, invoice date, currency, balance in integer cents, revision and status. Location is part of the unique key. Email is included only where needed for receipts; card information stays with the payment processor.

The payment ledger retains account, payment session, payment and management fee identifiers, gross amount, currency, time, processing fees and net amounts when available, refunds, dispute changes and the PBS acknowledgement.

Controls include authenticated server connections, scoped credentials, TLS, unguessable links, audit history, idempotent submissions and unique payment constraints. Signed events are verified and duplicates or out-of-order notifications handled safely. VEN supplies a replayable event feed. The PBS provider must persist its cursor only after committing its receipts, and submit acknowledgements. VEN cannot enforce transactions within PBS.

A fresh balance check or short-lived authorisation must be supplied by the PBS provider and validated before implementation. The agreed freshness limit and failure policy suspend payment when a balance cannot be trusted. No guarantee of preventing simultaneous store and online payments is given without a validated PBS reservation mechanism. Nemo's owns overpayment decisions and bookkeeping corrections. Alerts cover restrictions or failed connections detectable by the service.

Before implementation sign-off, record access roles, link expiry and revocation, minimal invoice information exposed to link holders, retention, exports and backup recovery requirements. A forwarded invoice link may be used by its recipient; customer authentication is excluded. Any requirement beyond the agreed baseline needs a variation. Hourly provider retrieval is proposed initially; outages can extend the delay.

Account ownership and management fee administration

Nemo's will always own the payment account. Business identity, account ownership, bank details and direct access remain with Nemo's. VEN manages and maintains the authorised payment connections and account configuration, rather than taking ownership of the account.

The proposed processor is Stripe, using direct charges on Nemo's connected account. Nemo's remains the merchant of record and pays processor fees directly. VEN receives the agreed management fee through Stripe Connect. Bank payouts follow the respective account schedules.

VEN's management fee is the greater of $399 per month or 0.50% of successful eligible portal payments, plus GST, subject to agreed refund credits. Payments taken outside this service and failed attempts do not attract the percentage fee. Monthly invoices show fees already collected as payments received, so they are not charged twice. Only a remaining balance is collected from Nemo's separately authorised saved payment method.

Nemo's staff continue to approve refunds and handle part-payments manually. The related percentage management fee is credited proportionally, with the monthly minimum still applying. Credit allocation, timing and any unused credit on termination must be defined in the signed billing schedule before automation is enabled. A fee refund and invoice credit must not duplicate one another. Stripe application fees require explicit refund handling; original processing fees generally remain payable.

The published Australian domestic card rate used for these illustrations is 1.65% + $0.30 including GST; international cards are 3.5% + $0.30. Actual account terms and payment mix govern the charge. The proposed Stripe-owned pricing model currently lists no additional platform account or payout fees. Compatibility and responsibility settings must be confirmed.

The alternative platform-controlled pricing model lists $2 per active account per month and 0.25% + $0.25 per payout. It is not the proposed basis for these estimates. Optional provider services, including invoicing or collecting minimum adjustments, may add costs and require confirmation. PBS continues to issue Nemo's customer invoices.

Hosted operation, automated monitoring, backups and exception reports are included. The two-hour monthly allowance covers all human support, routine maintenance and investigation combined, without rollover. Approved excess VEN work is $180 + GST per hour. PBS support, bookkeeping, debt chasing, customer support and chargeback case management are excluded. Service response targets and recovery arrangements must be recorded before launch; no availability percentage or fixed resolution time is promised.

Delivery boundaries, support and handover

Bounded pilot delivery

One Helensvale location, one merchant entity, one Nemo's-owned account, AUD full-balance card payments, one branded invoice payment template and one result-page template. Two consolidated design revision rounds are included. Browser checks cover current Chrome, Safari and Edge at agreed desktop and mobile sizes. Custom card storage, customer logins, a staff portal and new payment methods are excluded. No separate accessibility certification or audit is included.

Validation and acceptance

Before implementation, agree and validate a test invoice through payment, provider-owned PBS receipt posting, cancellation and duplicate-event recovery, plus the account configuration and written fee rules. If a dependency cannot be validated, pause implementation and agree a revised approach or stop; completed validation work remains payable under the agreed milestone schedule. The implementation estimate excludes waiting on suppliers, access and approvals. The acceptance checklist defines VEN deliverables separately from PBS provider deliverables. Missing supplier functionality does not become included VEN work.

Nemo's provides consolidated acceptance feedback within five business days. VEN corrects reproducible defects against the signed scope without variation charges; enhancements are quoted separately. Defects reported during the 30-day live pilot are included for correction. After that period, routine maintenance and investigations use the managed-service allowance; further work follows the agreed service terms. Expansion or a pilot extension requires written agreement.

Managed operation

Reconciliation means an automated daily comparison of service events and supplied PBS acknowledgements, with exception reporting to nominated contacts. It excludes manual bank-deposit balancing, bookkeeping, PBS corrections and a guarantee of end-to-end accounting accuracy. Nemo's resolves accounts discrepancies; its provider resolves PBS failures. VEN investigates its own service within the included support allowance.

Support hours are Monday–Friday, 9am–5pm Melbourne time, excluding public holidays. The service schedule must record response targets, alert recipients, backup frequency and retention, recovery targets, approved hosting costs and data retention before launch. No 24-hour response, fixed resolution deadline or third-party uptime/payout guarantee is included. Major provider migrations, new compliance requirements and material infrastructure changes require a scope review. Volume growth beyond the approximate pilot baseline triggers a capacity and service-cost review, not an automatic price change.

Account responsibilities and exit

Nemo's remains responsible for merchant verification, banking approvals, customer refund decisions and dispute evidence. The selected account configuration and responsibility for payment losses must be confirmed against the provider agreement before launch; ownership alone does not determine liability. VEN manages technical permissions and configuration only.

Before work begins, the signed terms must identify ownership or licence rights for the custom application, reusable VEN components, hosting accounts and domain, plus data export format, retention and termination notice. Account ownership does not by itself include source-code ownership or perpetual hosting. Define how existing payment links are disabled or handed over and how service data and credentials are transferred. Any additional migration or handover assistance beyond the agreed deliverables is $180 + GST per hour with prior approval.

Open decisions and source references
  • Confirm whether the approximate 300 weekly payments applies to Helensvale, all stores or each store, and the likely share paid online.
  • Confirm one merchant entity and Nemo's ownership of one payment account, with the required connection and fee permissions.
  • Obtain the PBS provider's written commitment to its interface, balance updates, receipt imports, testing and support. All PBS work and costs are outside VEN's scope and contracted directly by Nemo's.
  • Sign the billing schedule: eligible payments, per-payment GST rounding, monthly minimum, partial months, refund and dispute treatment, late credits, failed collection, termination credits and collection authorisation. No duplicate application-fee refund and statement credit.
  • Confirm design revisions, provider-owned email template placement, acceptance checklist, accounts contacts, support targets, backup recovery, data retention, application rights and exit terms, and payment milestones before work begins.

Nemo's requirements were provided in the October email conversations. Provider documentation was checked on 19 October 2026. Estimated volumes and costs are planning examples, with actual account agreements governing provider fees.

  4. Connected account pricing
  5. Connected account ownership and responsibilities
  6. Direct charges, management fees and refunds

Private email links require the relevant mailbox access. The proposal summarises the requirements so Nemo's does not need that access to assess the scope.

12 / Next steps

Agree the connections.
Then start the pilot.

Confirm Nemo's account and appoint its PBS provider. Validate the VEN interfaces, balance controls and fee arrangements, then approve the implementation scope for Helensvale. All PBS work stays with the appointed provider.

Confirm Nemo's account

Nemo's retains ownership and control. VEN receives the access needed to manage, monitor and maintain the service.

Confirm the connections

The PBS provider commits to its invoice updates, balance controls, receipt posting and recovery. VEN validates its own endpoints and payment service.

Confirm the terms

Pilot scope, provisional allowance, billing schedule, support limits, $180 + GST hourly variations, acceptance and payment milestones.

Review the investment

This proposal sets out the proposed VEN scope and pricing. Implementation depends on written validation and scope sign-off. All PBS-side work and supplier costs are excluded. Approved additional VEN work is $180 + GST per hour. Allowances remain subject to confirmation. Additional locations are optional, with pricing TBC after the pilot and initial estimates of $2,000 + GST each.
